How to use pools

The pool view in Leadtime ERP is a central tool for the overview and prioritization of an employee's tasks across all projects. Unlike the Big Picture view, which is focused on project-related tasks, the Pool view is a meta overview: It shows all tasks for which an employee is "responsible" across all projects. This enables the employee and their team leader to get a quick overview of the entire workload and set priorities across projects.

Navigation to the pool view

The pool view can be accessed via the main menu under Plan and prioritize -> Pool.

The Pool view offers similar interaction options to the Big Picture view, but on a more comprehensive level:

  1. Employee selection: Here, users with the appropriate access rights can select the desired user via a dropdown at the top of the page to display their pool. This sorts the view by employee.
  1. Ticket details:
      • At the top left, a radio button can be used to switch between displaying the summary and the last comment on the ticket cards. This makes the current status directly visible without having to open each ticket individually.
  1. Zoom function:
      • Using the Zoom In and Zoom Out buttons, the view can be scaled in 10% increments between 50% and 150% to see more tickets at once or detailed views as required.
  1. Progress bar:
      • At the top right, a cross-project progress indicator shows how many tasks in the pool have been solved in total and how many hours have already been spent compared to the estimated hours.

Structure of the pool view

The pool view is divided into vertical rows, each of which represents a project. Within these project rows are the so-called trackers, i.e. the task types of the project:

  • Arrange rows: Projects can be reordered by drag & drop using the handle symbol on the right-hand side. This allows more important projects to be moved to the top.
  • Arrange trackers: Within the project rows, the trackers can also be adjusted in order to reflect the priority of the task types within a project.
  • Big picture link: Each project series offers the option of switching to the big picture view of the project in order to obtain detailed information on all tickets in the project.

Ticket prioritization and progress

  • Set priorities: Tickets within a tracker can be moved horizontally to show their relative priority. Tickets further to the left have a higher priority.
  • Horizontal progress indicator: For each task type, a bar shows the progress of tasks solved and the hours spent compared to the estimated hours.

Adding tasks

  • A new task can be created directly in the pool via the Add task button at the top right, which is automatically assigned to the selected employee.

The pool view thus simplifies weekly planning and facilitates collaboration between team leaders and administrators, as it provides a central overview of all tasks to be prioritized for an employee and presents them in a compact, intuitive way.
