Invoice settings in Leadtime
In Leadtime, the content of invoice documents - such as greeting and closing formulas - can be flexibly customized. The system follows a clearly structured three-level principle, which allows both general standards to be defined and individual requirements to be taken into account at customer or individual case level.

The basic settings are made at workspace level and apply to all invoices, reminders and cancellation documents in the entire system. However, these texts can also be adapted for individual organizations (customers) - for example, if certain customers require a different tone, language or content. In such cases, the organization setting overrides the general workspace standard.
For maximum flexibility, it is also possible to deviate from the standard at the level of an individual invoice. In this way, individual formulations can be adapted directly in the context of the respective invoice - e.g. to address a special case, an anniversary formulation or a project-related note.
This tiered architecture offers the optimal balance of efficiency through standardization and flexibility for individual communication - and thus strengthens the professionalism and customer orientation of your company.
Modify invoice settings for individual invoices
In Leadtime, invoice content can not only be defined at workspace or organization level - it can also be customized for individual invoices. This is particularly helpful if you want to deviate from the standard texts or billing rules in a specific situation, e.g. for international customers, special conditions or individual cases.
This is how it works

Once you have selected an invoice in the Receivables area, you will find the "Customize" button at the top right.
Click on it to open the "Customize invoice settings" dialog .
Here you can individually define all relevant content and rules for this one invoice - without affecting other customers or projects.
The following settings are possible

Basic settings
- Invoice language
Set the language to German or English, depending on the language in which the invoice is to be issued.
Reminder settings
These affect the behavior for overdue invoices:
- Activate overdue fee
- Standard: the organization or workspace settings apply
- Activated: a defined reminder fee is due (e.g. €40)
- Deactivated: no reminder fee is charged
- Activate interest on invoices
- Standard: the higher-level settings apply
- Activated: interest on arrears is charged (prime rate + e.g. 9%)
- Deactivated: no interest is charged
The input fields for the overdraft fee and interest rates can be adjusted directly in the dialog.
Customize text modules
The text modules are divided into thematic sections:
General
- Closing formula
Used in every type of document, e.g:
"Yours sincerely, #senderNameAndPosition"
Invoice
- Invoice greeting
Personal introduction at the top of the invoice document
- Invoice footer
Standard line for payment due date and account details
- Reminder fee warning
Optional text to announce reminder fees for non-payment
First reminder
- Greeting
z.B.: "Dear Sir or Madam, unfortunately we have not received any payment as of today ..."
Cancellation
- Introductory text for cancelation invoices, e.g:
"We hereby cancel our invoice [number] for the amount of ..."
Text variables for welcome and closing formulas
The following variables can be used in the greeting and closing formulas for invoices, reminders and cancelations. The variables are automatically replaced by the corresponding values.

Reminder Penalty | The additional fee for reminders |
Interest Percent | The percentage of interest on late payments |
Sender Name and Position | The name and position of the person sending the invoice |

Sender position | The position of the person sending the invoice |
Invoice Number | The unique identifier of the invoice |
Project Name | The name of the project linked to the invoice |
Project Short Name | The short name of the project |
Client Company Name | The name of the client company |
Contact Person | The primary contact person for the invoice |
Invoice Net | The net amount of the invoice before taxes and fees |
Invoice Total | The total amount of the invoice without taxes |
Full Total | The total amount including all taxes and fees |
Overdue Interest Percent | The percentage of interest on overdue payments |
Overdue Interest Days | The number of days after which interest accrues on overdue payments |
Today's Date | The current date on which the invoice is created or viewed |
Dear Customer | Universal salutation based on the gender of the recipient |
