Invoice Verification
🟥 Reference text for the invoice verification area
This text is a reference. What types of text are there?
Invoice verification is the central place in Leadtime where all processes ready for invoicing are collected, checked and converted into an invoice. You can find this area in the menu under Billing > Invoice verification.
Overview: How does invoice verification work?

The page is divided into two parts:
- Left: a tabular list with all waiting invoices
- Right: the detailed view of the selected entry
The columns in the overview
Each entry in the list contains the following information:
- Organization: The company for which the invoice is being issued
- Project: The associated project or offer
- Type: Type of invoice (e.g. "Working time", "Product", "Interim payment", "Mixed")
- Period: Performance period of the invoice
- Total amount: Net total amount of the services to be invoiced
You can use the "Add filter" button to narrow down the list by organization, project, type or period if required.
Detailed view: How to check and edit the invoice
After selecting an entry in the list, the detailed view opens on the right. Depending on the invoice type, the associated items are displayed here - in the case of working time, for example, under the "Tasks" section.
Edit tasks

All tasks contained in the invoice appear in table form with the following information:
- Title and type of ticket
- Estimated time and time spent
- Lead time fee (if hidden)
- Additional time (added or deducted manually)
- Net amount
You can:

- Adjust times retrospectively (e.g. +15 min. or -30 min.)
- jump to the detailed view of an individual ticket and there:
- adjust the title of the ticket for billing if the ticket currently has a title that is not meaningful for the customer.
- enter a fixed billing value
- decide whether the ticket should not be billed - e.g. because you had to complete the ticket for the customer as a gesture of goodwill.

Adding manual items

Not all services are created automatically from tickets. You can add your own invoice items at any time using the "Add manual item" button - for example for
- External costs such as printing or travel expenses
- One-off services
- Additional flat rates
Each item consists of a title and an amount in euros and appears on the invoice as a regular service.
Manage Leadtime service fee
The lead time fee of 1% of the net amount is calculated in the lower section, but is not initially added automatically to the invoice.
You have two options:
- Open as a separate invoice item (e.g. "Processing fee")
- Hidden as additional time allocated to one or more tasks
The fee is rounded up to the nearest quarter of an hour in order to obtain even times. As soon as you make the setting, the fee is integrated into the final invoice.
Gross amount & billing
You can see the final summary in the area below:
- Net total
- Value added tax
- Gross amount
- Billing period & customer contact
Click on "Settle" to create the invoice and move it to the receivables area. The payment period starts to run from this moment.
