Our pricing model: fair, flexible - and geared towards your success

When developing Leadtime, it was clear to us early on that the usual pricing models of traditional ERP and cloud systems did not fit in with our philosophy.

Why conventional models were out of the question for us

A tiered model with modular price levels? Not ideal for Leadtime. Our system is deliberately designed as a whole - the functions interlock and only develop their full benefit when they work together.

A user-based pricing model? Also not practicable. Leadtime should be used by everyone involved in the project - both internally and externally. The more people work with it, the more effective your processes become. A price structure that increases the cost of each additional user would have created the wrong incentives.

Our approach: one service fee per invoice issued

This is why we have opted for a completely different, transparent approach:

There are no fixed monthly basic fees in the standard edition of Leadtime.

Instead, a service fee of 1% is charged on every invoice issued with the system.

Example

You issue an invoice for 500 euros to your customer:

→ Leadtime charges a service fee of 5 euros.

You can choose to pay this fee yourself - or have it included directly in your invoice. You have two options:

  • Show openly: The Leadtime fee appears as a separate invoice item.
  • Disguised allocation: The fee is added pro rata to billed services (e.g. as additional working time).

At the end of each month, you will receive a clear statement of all fees incurred.

Engagement fee

A basic fee of €100 is only charged if no invoice is issued at all in a given month. This basic fee is intended to prevent Leadtime workspaces from being blocked even though they are not actually used. We therefore call this fee the "Engagement Fee".

And here's the deal: the engagement fee is waived as soon as an invoice is generated in a month - even if this results in fees lower than €100.

What you get out of it

Our model offers you three decisive advantages:

  • No entry barrier: you only pay when you earn money yourself.
  • Full scalability: Whether you have 3 or 30 users - the price grows with your turnover, not with the size of your team.
  • Maximum fairness: When business slows down, your system costs are automatically reduced.

How exactly the Leadtime fee works in the system

In the standard edition of Leadtime, a service fee of 1% is charged on every invoice created. This so-called Leadtime fee is calculated directly in invoice verification and can be handled flexibly there.

Where is the fee displayed?

The lead time fee is calculated and displayed in the "Billing > Invoice verification" module. It is based on the net amount of the respective invoice.

Example: For an invoice for €3,800 net, the lead time fee is €38.

This fee appears at the bottom of the invoice preview as a separate block before the gross amount.

Two options for passing on the fee

You can decide whether you want to pay the fee yourself - or pass it on to your customers. There are two methods available for this:

1. open: separate invoice item

  • The fee is included in the invoice as a separate item with a freely selectable title (e.g. "Processing fee").
  • The customer sees the amount clearly and transparently in the invoice document.
  • Ideal if you want to deal openly with the transfer.

2. hidden: distribution via tasks

  • The fee is added as additional working time to one or more tickets in the invoice.
  • The calculation is made in quarter-hour increments. Example:
    • With a lead time fee of €38 and an hourly rate of €100, this corresponds to +0:30 hours (rounded up to €50).

  • The additional time appears in the "Leadtime" column for the tasks included.
  • You choose which ticket or tickets the time is added to.

Note: You charge your customer the rounded-up amount, i.e. EUR 50. Of course, we will still only charge you the exact EUR 38.

This method is particularly suitable if you want to integrate the fee inconspicuously, e.g. for services with many individual items or high volumes.

What happens in the background?

  • The fee is not automatically integrated into the invoice, but only calculated and displayed.
  • Only by activating the "Add to invoice" button is the fee included in the invoice - either as a separate line or hidden via working time.
  • In both cases, the final invoice item is clearly documented and the service fee is billed accurately - but never to your disadvantage.

Enterprise Edition: Tailor-made solutions for demanding organizations

The Enterprise Edition of Leadtime is aimed at larger organizations with complex requirements and several departments (buying centers) involved. These companies are deliberately looking for a scalable, customizable solution that can be adapted precisely to their internal processes and requirements.

More than just a product: a partnership

Companies in this segment are not just opting for a tool, but for a long-term partnership. The Enterprise Edition therefore offers more than just software - it includes

  • Individual system customizations
  • Personalized training and workshops
  • Reliable, extended support
  • Strategic support during roll-out

An alternative billing model for more predictability

In contrast to the turnover-based service fee of 1% per invoice, as used in the Standard Edition, the Enterprise Edition is based on a fixed monthly system provisioning fee.

This is agreed individually as part of the contract negotiations. The decisive factor is the size of your company.
