Project configuration with components

Introduction: Project configuration as a step-by-step process

Experience shows that in most projects the requirements are only really fully explored step by step. This is precisely why the project configuration in Leadtime was designed: It allows a step-by-step, dynamic approach. As soon as a project such as the "EcoNomic Innovators website" example has been created, the detailed configuration begins in the Configuration tab.

Importing components into the project tree

Everything is initially empty in the Project tree sub-tab. The agency now selects a prepared component from its own component library via the Import from catalog button - in this case the "Coach Performance Package". The dialog window shows all available components. After selecting and clicking on Import, the component appears in the project tree of the project.

Note: Several components can also be combined. In this case, only one component is used.

Structure of the project tree

The project tree view is divided into three parts:

  • Left: The actual project tree with expandable elements.
  • Center: Detailed view of the selected work package or section.
  • Right: Additional information, e.g. estimated effort, internal comments, linked tasks.

Start phase: Customer preparation via checklist

The agency usually sends its clients an initial checklist with information to prepare for a joint strategy call with the agency right at the start. Until now, the agency has completed this step using a Word document. Leadtime makes it easier: the checklist is simply converted into a ticket and assigned to the customer for completion.

The "Create task" button can be used to generate a type of special ticket from the checklist work package. If a ticket exists for a work package, it is displayed in the right-hand column as a card(similar to the display in Big Picture).

Why it makes sense to generate tickets from work packages:

  • Tasks can be assigned, commented on and edited
  • Time can be booked
  • Progress is visible - both in the task and directly in the project tree
  • The customer has access to the ticket system, but of course not to the project configuration.

The customer works their way through the checklist. Every question answered is visible live in the project tree. This allows the project team to see how far the customer has progressed at any time.

Dynamic adaptation of the project

Once the checklist has been completed, the agency conducts a strategy meeting with each new customer as standard. The agency has also prepared a dedicated work package with an integrated questionnaire for this when designing the project component. This is completed by the project team during the meeting.

Conditional questions

Many questions are logically linked - they trigger follow-up questions or optional work packages.

The sixth question is:

"What do you ideally want visitors:inside to do on the website?"

If the customer selects "Other", an additional, previously inactive question field is automatically displayed. The project thus adapts dynamically to the requirements.

Use conditional work packages

The photo session work package is a good example of a dynamically activated work package in Leadtime. It only becomes part of the project if the customer indicates in the "Enter design requirements" questionnaire that they require a photo shoot with one of the service provider's photographers.

There is a decision question in the questionnaire:

Do you need a session with one of our photographers?

Depending on the answer, different paths are taken:

  • Answer: "Have my own photos"
    • → The photo session work package remains inactive, the associated work steps are skipped.

  • Response: "Need shooting"
    • → The photo session work package is automatically activated and must be completed in full.

Import products into the project

As a professional photo shoot has a clearly defined scope of services and price, an additional product must be imported:

  • Product name: Photo session 1 day
  • Category: Service
  • Fixed price: e.g. €2,000

This product must be manually imported from the product catalog into the project. It then appears automatically in the quote and is also billed.

Content of the work package

The photo session work package contains a questionnaire that is used to prepare the photo shoot.

  • Photo types: Portraits, work situations, detail shots, etc.
  • Location request: Own office, outdoor location, etc.
  • Sample photos: Links to websites that serve as a stylistic model.
  • Visual language: Warm, open, inviting?

Next step: Create a task

As soon as the questionnaire has been completed, the user clicks on "Create task". Leadtime now creates a new task:

  • Clear task description
  • Automatically generated briefing text (based on the customer's answers)
  • Link to the project
  • Assignment to the photographer (optional)

This turns a simple customer response into a fully prepared project module - including budget, description and operational task.

Dynamic project structure

A central component of the project configuration in Leadtime is the use of so-called dynamic work packages with conditional logic. These work packages contain form questions whose answers have a direct influence on the structure of the project - in particular on the downstream work packages in the project tree.

Example: "Page types" module

A typical example is the page types work package, which asks the question:

"Which areas would you like to display on your website?"

The customer has several options to choose from, such as

  • About me / Team
  • Services / offers
  • Gallery / Portfolio
  • Blog / News
  • downloads
  • Contact form
  • Newsletter registration

This question is structured as multiple choice (checkboxes). Depending on which answer options are selected, additional, previously hidden work packages are automatically added to the project. For example, if the customer selects "Gallery / Portfolio", an associated work package with time, description and internal note appears immediately.

Functionality

  • The questions in the form are linked to visibility-controlled conditions.
  • Individual work packages are "hidden" by default and are only displayed if certain conditions are met.
  • The user's answers to the questions trigger these visibility rules.
  • As a result, the project tree adapts automatically and dynamically to the customer's individual requirements.

Advantages of this structure

  • Efficiency: Only relevant tasks are displayed - this reduces complexity.
  • Scalability: Reusable components remain modular and flexible.
  • Automation: The project manager does not have to intervene manually to add or remove tasks.
  • Transparency: The customer only sees what they really need - no more, no less.

Purpose of this mechanism:

Enables a flexible, customizable and automation-driven project structure based on the client's responses, thereby structuring the entire project process.

Save project versions

As soon as a project in Leadtime contains initial content - such as components, tasks, answered questions or added products - it is time for the first version. Versions are essential for creating documents based on the project, such as quotations or specifications. These documents always refer to a specific, saved project version.

🔴 Project is "not saved"

As long as no version exists, the project status in the top bar is marked with a yellow warning: Not saved. This means that the project is still in draft status and changes can be made at any time - but without a binding reference point.

📦 Create a version

Click on the Create version button to open a dialog box. Here you enter

  • a version title (e.g. "Project preparation", "Basis for offer"),
  • optionally a description.
    • The description is generated automatically: Leadtime compares the current status with the last saved version and lists the changes - such as new components, questions answered or tasks completed.

If it is the first version, the description contains the most important key data of the project - such as which products or components are included.

Saving & versioning

Click on Save to create the version. The "Not saved" notice disappears and the current version, including the time stamp, is displayed at the top. From now on, all quotation-relevant documents can clearly refer to this version - it forms the frozen starting point, so to speak, for all further communication with the customer.
