The purpose of tags: organizing and linking

Tags help to identify tasks with a specific topic or work focus. Instead of just looking at tasks within a project, you can summarize tasks thematically across projects. A practical example: Imagine your team is working on three projects that all contain billing tasks. By assigning the tag "Billing" to each of these tasks, you have the option of creating a view in which all billing-related tasks are displayed with just one click - regardless of the project to which they are assigned.

Advantages

  • Thematic organization: Tags help you to bring together and organize tasks on a specific topic, regardless of the project in which they were created.
  • Cross-project filtering: You can filter tasks quickly and efficiently and display them across projects by searching for tags.
  • Visualization: The coloured markings of the tags provide you with a visual overview of related tasks, which makes managing tasks much easier.

Through the targeted use of tags, you can make the management of your tasks more efficient and ensure that no important task is overlooked, no matter how many projects are running at the same time.

Tags in practice

In Leadtime, tags are available via the tags field in the task view. You can find the field on the right in the detailed view of a task or directly when creating a new task. You have two options for adding a tag to a task:

  1. Select existing tags: Leadtime will suggest existing tags as soon as you start filling in the "Tags" field. You can select the suggested tags simply by clicking on them.
  1. Create new tags: If the desired tag does not yet exist, you can create a new tag by typing a new term in the Tags field. As soon as you confirm the entry, the new tag is automatically assigned to the task and saved in the database. Notes: The color and name of the tag can be changed later.

Each tag is visually highlighted by a colored marker. This gives you an overview of the different categories or subject areas to which the tasks belong at a glance. You can also subsequently change the color of a tag to ensure uniform visual identification.

Using tags for task filtering

Tags allow you to filter tasks precisely and effectively. Once you have assigned specific tags to several tasks, you can filter by these tags in the All tasks view to find related tasks more quickly.

Example:

Your company supports several customers and works on their projects in parallel. Many of these projects include tasks relating to "billing". If you now want to see all billing-related tasks across all projects, enter the tag "Billing" in the search field and Leadtime will list all tasks that are tagged with "Billing".

This is how it works:

  • Navigate to the task overview and select the filter.
  • In the filter menu, you can search for tags by entering the desired term, e.g. "Billing". Leadtime will then only show you the tasks that have the selected tag.
  • This is particularly useful if you regularly need to process or monitor tasks across multiple projects.
