The product catalog in Leadtime is used to centrally maintain all standardizable services and products of a company. This is where companies can structure their offers, set prices and define variations. The catalog forms the basis for sales and billing of repeatable services.

Difference between products and projects

Products differ from projects in that they are more standardized. While projects are carried out individually for individual customers, products are largely standardized and can only be adapted by customers within a defined framework.
What form can products take?
A product in Leadtime can be both a physical and a non-physical good:
- Physical products: For example, hardware components or other tangible goods.
- Software products: License models for SaaS services or installable software.
- Standardized services: Training, consulting or workshops with a fixed scope.
Product variants and options

Products can be individually configured by adding variants and options:
- Variants: Different versions of a product, e.g. "Basic", "Pro" or "Enterprise".
- Options: Additional functions or extras that can be optionally added and are usually associated with an additional charge.
Price models for products
A product in Leadtime can be equipped with different price models:
- Fixed prices: A one-off amount that is due on delivery.
- Subscriptions: Regular payments at fixed intervals (monthly, annually, etc.).
- Unit pricing: A flexible model where the price is calculated per unit. An example would be a SaaS product that costs €100 per user per month - billing is based on the actual number of users.
With these functions, the product catalog enables flexible and scalable management of company offerings.
Create a product
Click on the "Create new product" button and a dialog window opens. This is divided into three areas: 1 Product details, 2 Variants and 3 Options. Each of these areas allows you to define specific features of a product or service.

Product details

The product details contain the basic information about a product. They form the basis for administration and subsequent use in quotations and invoices.
- Name: The name of the product or service is entered here.
- Category: Each product can be assigned to a category to make administration easier (e.g. "Consulting", "Software", "External costs" etc.).
- Logo: It is possible to upload a logo to visually distinguish the product in the catalog.
- Fixed price: A one-off price for the product or service. This fixed price remains constant and is charged once.
- Subscription price: A price that is billed at fixed intervals (e.g. monthly, annually). This is ideal for services or software solutions that are offered on a subscription basis.
- Price per unit: For products that are billed by quantity or units (e.g. per hour or per user), the price per unit can be specified here.
- Description: A detailed description of the product or service. Details of the function, purpose or benefit of the product for the customer can be specified here.
Variants

Products can have different variants, which can differ individually in terms of price and function. This gives companies the flexibility to create different versions of a product without having to create several separate products.
- Add variant: This function can be used to create a new variant for the product.
- Name of the variant: Each variant is given its own name (e.g. "Expert advice", "Senior advice").
- Variant description: A detailed description of the respective variant.
- Fixed price, subscription price, price per unit: Each variant can have its own fixed price, subscription price or price per unit. This allows the pricing per variant to be flexible.
Example: A consulting company could offer a product variant "Expert consulting" for EUR 150 and a variant "Senior consulting" for EUR 200.
Options

Options allow additional features or services to be added to a product, which can be optionally selected by the customer. This is particularly useful for upgrades or additional services that can be added to a basic product.
- Add option: Options such as "yes/no" questions or specific additional services can be created here.
- Option name: Each option is given a name (e.g. "Workshop").
- Allow multiple selection: This option allows the customer to select several additional options if required.
- Surcharge: Each option can be given an additional price. This can be a surcharge for the subscription as well as a fixed price or price per unit.
Example: A consultation hour can add the option "As workshop" with a surcharge of 50 EUR. Customers can choose whether they want to conduct the consultation as a workshop.
Create and manage product
Once a product has been fully created, it can be managed in the product catalog and used for creating quotes or billing. The product catalog provides a central overview of all available products and allows users to easily edit, delete or add new products.
Using the product catalog in everyday work
The product catalog can be linked directly to other Leadtime ERP functions, in particular to billing and projects. This means that products can be quickly transferred to quotations and invoices without having to re-enter the data. This saves time and reduces the risk of pricing errors.
Examples of use
- Software companies: A software company can create its software solutions in the product catalog with different subscription prices as well as variants for support or additional services. For example, a basic version of the software could be offered for EUR 500 per month, while a version with premium support costs EUR 750 per month.
- Consulting companies: A consulting company can create different consulting packages with different fixed prices and options in the product catalog. A consultation can be offered as an "expert consultation" for EUR 150 or as a "senior consultation" for EUR 200, with the additional option of a "workshop" for an extra EUR 50.
- Service companies: A service company can create products with fixed prices (e.g. "consulting flat rate") as well as those with billing by unit (e.g. "travel flat rate"), thereby improving internal administration and external billing.
Adding products to projects
Products can be added to projects in Leadtime. When do you need this? In many B2B scenarios, customers need a combination of standardized products and project-based services. For example, a company purchases a software license with a fixed list price, but also requires individual adaptations that are billed as project work. To map this efficiently, products can be added directly to a project. This ensures that the quotation includes both the product costs and the required services.
This is possible in both ongoing projects and individual projects. Individual projects typically start with a requirements analysis by the customer, followed by a quotation. An invoice is issued once the service has been completed. Ongoing projects, on the other hand, have a continuous billing process in which certain services are invoiced regularly or at irregular intervals.
By integrating products into projects, companies can efficiently map hybrid business models. Customers receive tailor-made offers that take into account both scalable product offerings and individual services. This not only facilitates the design of offers, but also the internal management and tracking of projects that are combined with standardized products.
Adding products to tickets
In Leadtime, it is also possible to link products directly to individual tickets. This is particularly useful if not only working time but also a specific product is to be billed as part of a ticket. As soon as the ticket is completed, the list price of the added product(s) is automatically transferred to the invoice in addition to the recorded labor costs. This allows product-related additional services or one-off purchases to be efficiently integrated into ongoing operations.
In addition, a so-called express offer can be created for a single ticket. This makes it possible to quickly and easily provide the customer with an offer that includes both the services and products associated with the ticket. This function is particularly suitable for spontaneous or urgent inquiries where it is not necessary to create a comprehensive quote, but where the focus is on quick confirmation and processing.
