Billing for individual projects
🟩 A quick guide to accounting for individual projects

Billing projects in the invoice verification
As soon as a project is completed and the status is set to "Billing", Leadtime automatically creates one or more prepared invoices in the Billing > Invoice verification area. There you can check the final content, add to it if necessary - and invoice it with one click.
Start project billing

- Open the project configuration
- Switch to the "Settings" tab
- Set the project status to "Billing"
From this moment on, Leadtime automatically generates one or more pending invoices in the invoice verification - based on the previously defined billing settings and the current status of the project version.
What is invoiced?
The project invoice is based on the master version approved by the customer. The invoice automatically includes
- Project components (e.g. epics and work packages)
- Products that are included in the project (one-off services)
- Change requests that were added in the course of the project (tickets with corresponding marking)
- Manual items, e.g. external costs
- Payments on account that were previously issued as interim invoices (are automatically deducted)
Overview of invoice types

Depending on the project structure, up to five different invoice types can appear in invoice verification:
Invoice type | When does it make sense? | When does it make sense? |
Project invoice | Main invoice based on the master version | At the end of the project |
Product subscriptions | Recurring services from the product catalog | z.e.g. hosting, support, CRM |
Change requests | Subsequent individual tickets with time expenditure | z.e.g. new requirements |
Express offers | Fixed-price tasks, commissioned separately | z.e.g. urgent additional features |
Interim payments | Advance or interim payments | z.e.g. 50% down payment at the start of the project |
This division ensures clarity and a clear separation of different types of services.
Split vs. mixed invoices

In the project's general billing settings, you can choose whether:
- all items are combined in a single, mixed invoice
- or whether Leadtime should generate several separate invoices
We recommend the split invoice because it:
- increases the willingness to pay
- limits queries to individual partial amounts
- facilitates traceability
Check & release project invoice
In invoice verification, you will see the invoices generated listed in a table. Click on a line to open the detailed view in which you can
- View items
- add manual entries if necessary
- and trigger the final step via the "Settle" button
Advance payments are automatically deducted as a negative item in the main settlement.
