How to bill express quotes
Express qu otes are the perfect tool for offering smaller customer requests directly from a ticket at a clearly defined price - without lengthy quote processes. Once accepted by the customer, they are automatically made available for billing in Invoice Verification.
What is an express quote?
An express quote is a formally approved mini quote that is created from a single ticket. It is primarily aimed at service providers who regularly provide spontaneous but billable services - such as bug fixes, small features, support measures or additional tasks.
Components of an express quote:
- Estimated time required (e.g. 4 hours at €100)
- Optional: One or more fixed-price products assigned to the ticket
The total price therefore results from the combination of time estimate and product values. Both are offered to the customer together and invoiced as a total amount.
Prerequisites for billing
Before an express quote can be billed, the following steps must be completed:
- The express quote has been accepted by the customer.
- The ticket has reached the status "closed".
This means that it is automatically listed in Invoice Verification.
This is how billing works in invoice verification
- Navigate to
Billing > Invoice verification
- Select the prepared invoice
All Express offers that have been accepted in the current billing period appear in the list.
- Check contents
- Offer number and title of the ticket
- The calculated service (e.g. 4 hours at €100)
- Optional: included products (e.g. "Plugin setup - 120 €")
- Total net amount incl. lead time fee
In the right-hand column you can see
- Billing
Click on "Invoice" to create and send the invoice.
The item disappears from the open list - payment can be made.
Best practices
- Use express offers for all cases in which customers need approval before implementation.
- Combine them with products, e.g. to invoice flat rates or license fees.
- Document services clearly in the ticket - the quote documentation is completely audit-proof.
