"Overdue" tab - due dates at a glance, reminders under control

As soon as an invoice has been sent in Leadtime - by email or manually marked as "sent" - the payment term starts. If this is exceeded, the invoice automatically appears in the "Overdue" tab of the receivables area. This is where Leadtime's digital dunning process begins - traceable, flexible and controllable.

Where does the payment target come from?

The payment target is set by default at workspace level - e.g. "30 days".

However, it can be adjusted individually per organization, e.g:

  • 14 days for customers who tend to pay late
  • 60 days for large clients with longer payment terms

You can find this setting under:

Organization → Settings → Invoice settings → Days until due date

In the tabular view you will find

This allows you to see at a glance which invoices require action - and how urgently.

Send reminders

If you click on an overdue invoice, the area for reminders appears in the detailed view on the right. There are two levels:

🧾 First reminder

  • "Send" button: Send reminder directly to the customer by email
  • "Download" button: Save reminder locally as a PDF and send by post if necessary
  • "Mark as sent" checkbox: Necessary if you are not sending it by email

As soon as the first reminder has been sent, it is documented with the date and the second reminder block appears automatically.

🧾 Second reminder

  • Works in the same way as the first
  • You decide yourself whether and when to send it
  • Text content can be customized (e.g. formulated more sharply)

What does a reminder say?

The reminder is an official document with:

  • Designation "1st reminder" / "2nd reminder"
  • Introductory text (customizable)
  • List of all invoice items
  • Reminder fee, if applicable (e.g. €40)
  • Default interest, if applicable, calculated automatically (e.g. 12.37 % over 179 days)

The reminder document looks very similar to the invoice PDF - but with clear legal information.

Flexibly adjustable

You can control the dunning process on three levels:

Level
Setting options
Workspace
Standard dunning levels, interest rates, dunning fees
Organization
Individual dunning behavior per customer
Individual invoice
Exceptional case? Deactivate reminder or handle differently

For example, you can waive dunning fees for particularly sensitive customers or allow longer periods.

Why all this is important

Consistent dunning does not mean harshness - it means reliability. If you send regular, friendly but firm reminders, you not only ensure liquidity, but also better payment behavior from your customers in the future.
