Automatic calculation of expenses
🟩 Workshop 6: How the efforts of work packages work
This text is a guide. Which text types are available?
Automatic effort calculation in Leadtime
Leadtime calculates the total effort of a project completely automatically - based on the effort of individual work packages in the project tree. The calculation is carried out bottom-up: each work package has a defined minimum effort that was stored in the library when the component was created. This results in
- The sum of all work packages results in the effort of an epic.
- The sum of all epics is the effort of the entire project.
Minimum effort and dynamic adjustment
The so-called minimum effort is a fixed value in hours that is always incurred as soon as the respective work package is part of a project. Example: In the "Coach Performance Package", a minimum effort of 2 hours is defined for the "Strategy Call" work package.

However, this effort can be adjusted dynamically, depending on the information provided by the customer in the associated questionnaire:
Example: "Legal & data protection" work package

- Minimum effort: 1 hour
- If it is stated in the form that the customer does not have a data protection declaration, 2 additional hours are automatically added - as a corresponding document must be created.
Dynamic activation of additional work packages
Entire work packages can also be shown or hidden dynamically. For example, the questionnaire on page types asks which pages the customer requires. A separate work package is activated for each selected page type - including the associated workload.
This means that depending on which page types are selected (e.g. "Home with Hero", "About me", "Services"), the total cost of the project increases.

Calculating the project price
As soon as all the work involved is known, the price is calculated:
- An individual hourly rate can be stored for each projectin the organization settings.
- This can differ from the standard hourly rate if, for example, a higher rate has been agreed with the customer (e.g. 150 €/h instead of 100 €/h).
- The project price is calculated by multiplying the total hours worked by the project hourly rate.

Example:
40.5 hours * 150 €/h = 6,075 €
