Capacity planning with the pipeline

Why capacity planning is important

As soon as concrete tasks (tickets) have been created from the work packages of a project, the question arises: who should do what and when? Capacity planning ensures that tasks are distributed sensibly among the available employees - taking into account

  • other ongoing projects
  • existing customer enquiries
  • internal tasks
  • Absences (vacation, illness)

Digital service providers in particular rarely work exclusively on one project. This makes realistic planning that avoids overload and makes bottlenecks visible at an early stage all the more important.

The pipeline: Planning with real resources

The Pipeline planning tool is at the heart of capacity planning in Leadtime. It shows which tasks are assigned to which team member on a weekly basis - visually displayed as time blocks.

The pipeline is team-based. You can choose:

  • Showentire company
  • Show only a specific team (e.g. "Team Coach Website")

💡 Tip: If you can carry out a project with fixed resources, it is worth defining your own project team. This keeps planning focused and clear.

This is how planning works:

  1. Click on "Add task to pipeline"
  1. Select a ticket from the list
  1. Select the person responsible
  1. Set the start and end date as well as the start and end time
  1. Click on "Schedule"

💡 The pipeline takes this into account automatically:

  • Absences according to the team calendar
  • Weekends and non-working days
  • Blocked times

This provides a realistic estimate of what can actually be achieved in a week.

Iterative planning in intermediate steps

Tickets do not have to be planned all at once. It often makes more sense to think in realistic intermediate steps:

Example:

A ticket takes 8 hours to complete.

You plan the first implementation phase with 4 hours.

This is followed by a review or feedback.

This is followed by the next assignment.

In this way, the planning remains flexible and adapts to the actual work flow.

Advantage over Gantt planning

In contrast to classic Gantt planning, the pipeline is based on available resources - not on idealized time windows. It offers

  • realistic feasibility
  • recognizable bottlenecks
  • Immediately visible overload
  • Actual working times instead of wishful thinking

If the deadline threatens to topple, pragmatic countermeasures can be taken - for example, by assigning additional team members or using freelancers at short notice.

Conclusion: real time instead of Excel

Capacity planning in Leadtime is more than just a calendar - it is a dynamic management tool for agencies, service providers and project teams:
