Daily clocking in and out may seem like a tedious administrative process at first glance, but it plays an essential role in efficient and transparent time management in modern companies.

Clocking in and out not only ensures that an employee's actual attendance time is recorded, but it also helps to realistically reflect working hours. Especially in times of working from home, flexible working hours and international teams, it is important to have accurate and traceable information about when and how long employees are actually at their workplace.

If a company still wants to do without this additional process, it can be deactivated in the workspace settings.

Deactivate clocking in and out

Whether employees in the company have to clock in and out daily can be adjusted via the workspace settings. There you can define the way in which attendance time is recorded.

Simple

With this setting, attendance time is automatically counted based on the contractually defined working hours. Employees do not have to actively clock in and out.

Activated

Here, employees must actively clock in and out to record their attendance time. This option is particularly useful if flexible working hours or home office are used.

In addition, threshold values for the display of "good" and "bad" time bookings in the team calendar can be defined in the workspace settings:

  • Time bookings that amount to more than 75% of the agreed working time are marked as good.
  • Time bookings that amount to less than 30% of the working time are marked as bad.

It is also possible to configure reminders for time recording. These reminders help employees to record their times on time.

When active clocking in is required, the button to book attendance starts flashing to remind the user to clock in.

Clocking in and out

Daily clocking in and out can be done in different ways:

Quick clock-in

This option can be accessed via the profile menu at the top right of the header bar. In the submenu, the item Quick clock-in at is displayed. Clicking on it opens a small submenu in which the user can select from predefined typical clock-in times (e.g. 09:15). By clicking on the desired time, the stamping process is completed immediately. This is the quickest way to start the working time.

The user can also select the clock-in option via the profile menu. This opens the complete time booking dialog. This offers more flexibility and allows more detailed recording of working time.

The following information can be entered in the Book time dialog:

  • Date: The date of the booking.
  • Start and end time: Precise entry of the exact working times.
  • Mood: The user can enter their mood during work (Good, Neutral, Bad).
  • Comment: Notes can also be left on the booking.

Once all the details have been entered, the user can click on Clock in to complete the process. Alternatively, they can click on Stamp and continue to continue the work directly.

The third way is via the time statistics button in the header bar. This opens the time statistics dialog, which shows an overview of attendance, booked and billable times for the day. This dialog also contains the Clock in button, which opens the complete time booking dialog. This enables detailed entry of the working time, as described in the previous point.

A note on the rest of this dialog window

The time statistics for today show the progress of the day and are divided into three rings that visualize different types of time:

  1. Attendance (pink): This shows how long the employee was present in total, i.e. from clocking in to clocking out.
  1. Booked time (yellow): This shows the actual working hours booked to tasks or projects.
  1. Billable time (green): This shows the time that has actually been recorded as billable for the customer.

The employee can use the drop-down menu at the bottom to select which time type should be displayed in the bar at the top. In this way, the employee always has their most relevant working time target in view in the header bar.

All attendance times as well as booked times and absences of team members are displayed in an overview in the team calendar. In this way, managers can quickly keep track of who has achieved their time achievement targets.
