In Leadtime, it is of central importance that employees not only record their working hours precisely, but also estimate the expected time required for upcoming tasks as accurately as possible. This ability to estimate enables realistic project planning and supports the company in recognizing workloads and capacities at an early stage and distributing them efficiently.

Purpose of estimating working time

The purpose of estimating a task is not only to retrospectively evaluate the effort involved in a completed activity, but also to create a basis for resource planning in advance. By providing an estimate, the company gets a picture of the upcoming workload, which is crucial for daily planning and long-term project management. A comparison between planned and actual hours also promotes transparency and makes it possible to better assess the performance of individual employees and teams.

How does estimating work in Leadtime?

When creating or editing a new task in the Create new task dialog, team members can enter the expected time expenditure in hours in the right-hand section under Estimate. This can be done manually as a concrete number of hours or by adjusting the slider. This estimate serves as a guide for everyone involved and is particularly helpful in determining the expected scope of the task.

Monitoring the booked working time compared to the estimate

Leadtime continuously tracks the working time spent and compares it with the estimate. In the task view, in the time frame section on the right, the progress is displayed, e.g. "2 hours spent out of 4 hours". This comparison helps both the employee and the manager to keep an eye on the actual workload and determine whether the task can be completed within the estimate. This makes it clear at an early stage whether a task will take more time than originally planned.

Progress display in the big picture view

In Leadtime ERP's Big Picture view, all tasks of a project are clearly displayed, including their estimated and actually booked time. This view enables project managers to see the progress of all tasks at a glance and to quickly recognize deviations between planning and reality.

Estimation and time booking

Each task contains a display of the estimated hours as well as the hours already booked. The display is as follows:

  • Estimate: The originally estimated time required for the task is shown in hours.
  • Booked time: The sum of the hours that all employees have booked on the task so far.

Both values are displayed directly on the task card, such as "2h of 4h". This means that 2 hours of the estimated 4 hours have already been booked.

Visual progress indicator

A progress bar is displayed below the time values, which visually shows the proportion of hours booked in relation to the estimated total time. If the planned time is exceeded, the display turns red:
