Motivation to achieve goals with time rings

In Leadtime ERP, working times are visualized using a detailed system of time rings. These make it possible to track and monitor working time in three dimensions: Attendance, documented working time and billable working time. The time rings serve as a daily progress indicator and help both employees and management to track efficiency and target achievement in real time.

The structure of the time rings

Each day begins with empty time rings, which fill up as the day progresses and show progress against defined targets. This is intended to encourage employees to achieve the agreed time targets every day.

The rings represent the three time levels in different colors:

  • Outer ring (magenta): attendance
    • The outermost ring in magenta shows the employee's attendance time. This is the time span from check-in to check-out and is compared with the contractually agreed working time stored in the system. For example: If an employee owes an attendance time of 8 hours, but is only clocked in for 7.5 hours, there is a difference of 0.5 hours, which is noted as minus hours.
    • The attendance time provides an overview of the actual time spent in the work environment and helps to ensure that employees adhere to the contractual working hours.
  • Middle ring (yellow): Documented working time
    • The middle ring in yellow stands for the documented working time, i.e. the time that an employee has actively booked on tickets or tasks. Each segment of the yellow ring represents a specific task or ticket to which time has been booked.
    • Hovering over a segment shows which task or ticket was processed and how much time was spent on it. This makes it easier for employees to track and analyze their activities.
    • A comparison of the attendance time with the documented working time shows whether all attendance hours have been recorded by task bookings. If there are no bookings, part of the attendance time remains undocumented, which could indicate inefficiencies or unrecorded activities.
  • Inner ring (green): Billable working time
    • The inner green ring visualizes the value-adding working time that has been booked to billable projects or customer orders. This ring is particularly relevant for revenue generation as it represents direct billable time.
    • Setting a daily target for billable hours helps to focus on activities that add financial value to the business. For roles that primarily work on client projects, this target can be set correspondingly higher.
    • This green ring provides a clear visualization of whether or not an employee has reached their billable hours target. This allows management to assess how much of the time worked has been used directly on client projects and how effective the use of time is.

Leadtime allows users to activate one of the three time levels as a progress indicator in the header. This compact display in the form of a small circle makes it possible to always keep an eye on the most important daily goal for the user without having to open the detailed view.

The time level to be displayed is selected via a drop-down menu item in the time ring dialog. Attendance, documented working time or billable working time can be displayed, depending on what is prioritized for the employee on the respective day.

Configuration and targets for billable time

The targets for billable time can be set individually by administrators for each employee. This setting is made in the section Our company > Employees > Basics in the section "Working time and salary". Here the manager can enter an appropriate billable hours target that is both fair and challenging and appropriate to the position.

The configuration of billable hours is crucial for the planning and management of projects, as it ensures that employees are deployed in the most productive and value-adding way possible. By setting targets for billable hours, the company can achieve a better balance between strategic internal activities and profitable client projects.
