The Our company > Employees > Overtime section offers a comprehensive way of recording, checking and managing an employee's overtime. Overtime occurs when an employee works more hours than agreed in their employment contract. This section allows supervisors and team leaders to accurately track an employee's overtime and take appropriate action to compensate them.

Record overtime

Overtime is automatically recorded by the daily time tracking system. Employees book their working hours to different projects or tickets. The daily booked working time is compared with the contractually owed target time. If the booked time exceeds the target time, this results in overtime. These are documented in the overtime area and are available for review.

Several important key figures are displayed at the top of the overtime overview, providing a quick overview of the employee's overtime:

  • Overtimebalance: shows the current overtime balance. A positive value means that the employee has worked overtime. A negative value indicates that the employee has minus hours.
  • Total logged: The total number of hours the employee has logged since the start of their employment.
  • Contract: The contractually agreed working hours that the employee must work for a specific period.
  • Total compensated: The number of overtime hours that have already been compensated through vacation, monetary payments or other measures.
  • Converted to vacation this year: Shows the number of overtime hours that have been converted into additional vacation days this year.
  • Paid in cash this year: The number of overtime hours that have been compensated by a special payment this year.
  • Ignored this year: The number of overtime hours that were forfeited or ignored this year.

This section provides a graphical overview of daily working hours. In a monthly calendar, the planned working time (gray line) is compared to the actual working time (colored bars). This enables a precise analysis of the days on which overtime or minus hours were worked. Each day clearly shows whether the target working time has been met, exceeded or fallen short of.

Overtime can be compensated in this area. As soon as an employee has built up a large amount of overtime, the line manager can take measures to compensate them. The manager has three options for dealing with the overtime:

  1. Paid in money: the supervisor can convert the overtime into a special payment. To do this, the "Paid in cash" type is selected and the number of overtime hours to be compensated is entered. The payment should be documented as a bonus in the Wages tab.
  1. Converted to vacation days: Overtime can be converted into additional vacation days. The "Vacation days" type is selected in the dialog. The number of overtime hours and the year in which the vacation days are credited are defined.
  1. Ignored: The supervisor can also decide to ignore the overtime, for example if no compensation is desired or necessary. The "Ignored" type is selected and the number of overtime hours is entered, which are then considered ignored.

Each compensation measure is documented in the compensation history so that the process remains transparent and traceable.
