Managing vacation days in Leadtime
The vacation management of an employee includes several aspects:
- Annual vacation quota
Each employee has a contractually defined number of vacation days per year. These can be planned and requested throughout the year.
- Vacation request and approval
Employees must apply for their vacation days. A line manager checks and approves the application, marking the vacation days as "used".
- Carryover and expiry of vacation days
Unused vacation days can be forfeited or carried over to the next year, provided this is regulated by the company.
- Additional vacation days (vacation compensation)
It is possible to grant employees additional vacation days, for example as compensation for overtime worked.
Vacation overview in the employee profile
Your company / Employees / [Employees] / Vacation
All past and planned vacations can be viewed in the "Vacation" tab of the respective employee. This area is not only used for an overview, but also for allocating leave compensation and adjusting the leave quota.
These functions enable transparent and efficient management of vacation days, simplifying planning processes and avoiding bottlenecks.
1. outstanding vacation requests

This block displays the employee's outstanding vacation requests. If there are no outstanding requests, this is noted accordingly. The employee can submit new vacation requests and the supervisor has the option of approving or rejecting them.
- Calendar icon: The button opens a dialog with the team calendar, which shows the period of the requested leave. This allows the manager to check whether there is a risk of understaffing during the requested vacation period.
- Percentage: The percentage shows the company's average staffing level for the requested period. In this example, the staffing level is only 48% - which is not surprising as it is the week between Christmas and New Year's Eve.
2 Approved upcoming vacations

This block shows the employee's future vacations that have already been approved. In addition to the date, the company's workload percentage during the vacation period is displayed, which allows potential capacity bottlenecks to be identified at an early stage. Approved leave requests can be subsequently canceled using the "X" button if necessary. A reason must be given when canceling a request.
3. vacation statistics

Here the supervisor can find a detailed overview of the employee's total vacation quota for the current year. The following are displayed:
- Total vacation days: The total amount of the employee's vacation days including all changes due to vacation compensation.
- Utilized: The number of vacation days already approved and taken.
- Remaining: The number of vacation days still available to the employee for the current year.
- By contract: The number of vacation days to which the employee is entitled under their contract for the current year.
- Deducted: Vacation days that have been deducted as part of vacation compensation.
- Already used: The number of vacation days actually already taken.
- Pending : The number of vacation days requested but not yet approved.
- Approved: The number of future vacation days already approved.
4. vacation allowances

With this block, the employee's vacation time account can be changed by a supervisor. Vacation days can be deducted, added or postponed to the next year.
- Postpone: Carry over unused vacation days to the next year.
- Deduct: Allow unused vacation days to expire with or without financial compensation.
- Add: Grant additional vacation days, for example as compensation for overtime worked.
All changes are logged and can be viewed here.
5. vacation history

This block lists all of the employee's past leave requests, including approved, rejected and canceled leave requests. The change dates and reasons for rejections or cancellations can also be viewed here. This creates transparent documentation of leave management.
